About The Position:
Manages the day-to-day administration of the WestWorld RV Office and Feed and Bedding Store, and the multi-vendor food and beverage concession program. Serves as a special projects assistant to the WestWorld General Manager regarding marketing, advertising, and contracts and event proposals that are new to WestWorld.

PLEASE NOTE: Years of experience are based on a work schedule of 2,080 hours per year for full-time positions and 1,040 hours per year for part-time positions, and while work experience may substitute for education on a year-for-year basis, depending upon the job classification, education may not be substituted for work experience.Minimum Qualifications
Education and Experience:
- A Bachelor's Degree in Business Administration, Recreational Administration, or other relevant field from an accredited educational institution.
- Three years' experience coordinating a variety of events and activities at an event facility.
- Five years' retail management experience.
- Three years of Lead or Supervisory experience.
- An equivalent combination of education and job related experience may substitute for the educational requirements on a year-for-year basis.
Licensing, Certifications and Other Requirements:
- Must possess and maintain a valid, unrestricted driver's license with no major citations within the past 39 months prior to the start date. The Arizona Department of Motor Vehicles requires that out-of-state driver's licenses must be surrendered within 10 days of relocating to the State of Arizona.
- Every person employed by the City of Scottsdale shall reside in the State of Arizona during his or her active employment by the City, regardless of whether the employee is approved to remote work.
Other pertinent licenses and/or certifications may be required of some positions depending on department/section assignment.
Essential Functions
All Assignments
- Supervises employees and coordinates personnel-related activities to include, but not limited to: training, approving work schedules, recommending/approving personnel actions, coaching and counseling, establishing performance goals, and writing performance evaluations.
- Plans, assigns, supervises and reviews the work of the RV Office staff and the Feed & Bedding Store Supervisor to ensure quality, accuracy and compliance with established policies, procedures, administrative regulations, statutes, ordinances and laws.
- Establishes priorities, sets deadlines, and projects staffing needs.
- Informs management of hazards or problems at the facility and takes corrective action; responds to emergencies and changing priorities; recommends improvements.
- Works in the RV Office and Feed & Bedding Store as needed.
- Drives utility vehicles, pickup trucks and golf carts on the WestWorld property.
- Works with staff and event promoters to facilitate event contract coordination at WestWorld, including providing sales packets and site tours; maintains booking calendar; completes necessary information regarding event needs in standard facility use contract; tracks return of agreements; receives and processes payments for deposits.
- Prepares invoices and refunds.
- Obtains/verifies all necessary licenses, permits, credentials of outside caterers and food vendors.
- Updates website and public postings weekly.
- Works with City Tax and License regarding event vendors, as necessary.
RV Office Assignment- Develops staff schedules and work assignments.
- Develops and implements systems to improve service(s) and processes.
- Oversees all cash handling, including change bank accounts.
- Coordinates all RV sites on WestWorld property; works with event producers in relation to usage of RV sites.
- Ensures timely move-in and move-out of event attendees in RV lots.
- Works with Facility Manager to ensure all RV sites are operational.
- Maintains RV maps and develops new maps and site plans.
- Develops guidelines for RV customers.
- Participates in preparing Requests for Proposals for all Feed & Bedding products and supply line.
- Evaluates and scores all Requests for Proposals.
- Maintains contact with all suppliers and ensures all requirements in Requests for Proposals are in place; advises management of any problems.
- Analyzes sales projections to balance usage and orders product.
- Ensures all products are delivered in a timely manner.
- Monitors and controls the Feed & Bedding Store hours to ensure a balance between event supply and demand, and overtime usage.
- Maintains financial records, including revenue-generating records, overtime, seasonal worker budgets, and other records.
- Oversees the work of maintenance staff; assists to assign and prioritize work; monitors work to ensure completion.
- Listens and responds to customer requests, inquiries, and issues.
- Coordinates with Facilities Manager regarding event supervision, staffing and equipment needs, and turn-around times.
- Manages Food & Beverage Concession Services.
- Works with event producers prior to events to ensure their food and beverage needs are met.
- Facilitates food and beverage concessionaires in relation to event set-up and scheduling support.
- Oversees food & beverage concession services during events to ensure events have food on premises for their exhibitors and attendees.
- Works with concessionaires to ensure compliance with all WestWorld, City of Scottsdale, and Maricopa County Health Department rules and regulations.
- Works with Maricopa County personnel regarding scheduling of concessionaires. Meets with County personnel during inspections and corrects issues.
Work Environment/Physical Demands
- Most work is performed in a city office environment. During events, seldom sedentary and includes walking or moving.
- Lifts materials weighing up to 30 pounds, and up to 50 pounds with assistance.
- Moderate exposure to dust, grease, noise, and unpleasant odors.
- Work in a variety of weather conditions including inclement weather and extreme heat.
- Respond to critical issues in RV Office and Feed & Bedding Store as needed.
- Work a flexible schedule including evenings, weekends and holidays, as needed.
