Capital Region Educational Service District 113 is seeking a candidate to join our Workers' Compensation Trust team located in Tumwater, WA. The applicant chosen to fill the role of Administrative Secretary (1/2 time) and Claims Technician (1/2 time) will be responsible for answering calls; setting up new claims; assisting with document development e.g. newsletters, project status and surveys; open, date stamp and distribute mail; schedule meetings and other administrative functions; assist claims staff with data collection from vendors; schedule examinations and write cover letters to examining physicians; secure documents from health care providers; and other duties as assigned by the claims staff. This job position reports to the Director of Risk Management.
This is a full-time 8 hours per day, 260 days per year position. Work hours are M-F, 8 am to 4:30 pm; 4 hours will be as an Administrative Secretary and 4 hours will be as a Claims Technician (System Support). The hourly rate of pay for the Administrative Secretary position is $19.1149 - $21.0736. The hourly rate of pay for the Claims Technician (System Support) position is $19.5927 - $21.6003. The job of Administrative Secretary is done for the purpose/s of providing a wide variety of complex secretarial and administrative support to professional staff and administrative supervisors; organizing and coordinating office activities and communications; and providing assistance and information to ESD 113 staff, other school districts and vendors.
The job of Claims Technician (System Support) is done for the purpose/s of providing initial contact for injured workers within the cooperative; maintaining department computer databases, hardware and software installations; resolving problems and/or determining appropriate action/s for resolution.Examples of Duties
Administrative Secretary:
- Assists in planning, organizing and developing programs/services for the purpose of ensuring compliance with ESD 113, state and/or federal requirements and meeting the educational objectives of the ESD 113.
- Compiles data from a variety of sources (e.g. OSHA logs, etc.) for the purpose of providing necessary documentation for the needs of the Workers' Compensation Trust Department.
- Composes documents for assigned area (e.g. newsletter, project status, surveys, letters, bulletins, reports, etc.) for the purpose of documenting events, providing and/or requesting information.
- Informs personnel regarding a variety of procedures and program requirements for the purpose of providing necessary information for making decisions, taking appropriate action and/or complying with established statutory, regulatory, state and federal guidelines.
- Maintains a variety of files and records (confidential and non-confidential), compiling pertinent information in assigned area for the purpose of ensuring accuracy of materials and complying with all federal/state/district regulations.
- Monitors a variety of processes (e.g. budget, expenditures, program activities, project status, reports, inventories, etc.) for the purpose of adhering to legal and/or administrative requirements.
- Participates in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions.
- Prepares various reports and related documents (e.g. forms, special service directory, monthly class lists for Co-op, warrants for claims, premium payments, presentations, newsletters, memos, letters, etc.) for the purpose of providing documentation and information to others related to program/department.
- Processes a variety of activities (e.g. incoming/outgoing mail, payments, correspondence, incoming calls, student accident reports, property/casualty loss reports, etc.) for the purpose of disseminating information to appropriate parties.
- Procures office supplies and materials for the purpose of ensuring adequate inventory within budgetary guidelines.
- Researches policies and procedures in assigned area for the purpose of implementing procedures to maintain compliance with current legal requirements.
- Responds to inquiries (e.g. visitors, school personnel, co-op staff, parents, etc.) and answers telephones for the purpose of providing information regarding ESD 113 programs, policies, procedures and regulations and/or providing direction.
- Schedules various activities (e.g. appointments, meetings, travel reservations/accommodations, facility usage, etc.) for the purpose of coordinating and making necessary arrangements for assigned administrator.
- Supports assigned administrator for the purpose of providing assistance with their administrative functions.
- Assesses requests for assistance regarding computer hardware and/or software applications for the purpose of resolving problem situation and/or determining appropriate action/s for resolution.
- Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
- Designs report options, database queries, chart/graph templates for the purpose of responding to requests for specific data and developing new reports.
- Directs assigned ESD and temporary staff for the purpose of guiding and monitoring their
- activities.
- Prepares a variety of reports (e.g. department activity, OSHA logs, participating district
- activity, calendars, etc.) for the purpose of documenting departmental activities, providing
- written reference and/or conveying information.
- Processes medical only claims through completion for the purpose of documenting claims, providing written reference, and/or conveying information.
- Processes initial claim documents for the purpose of ensuring completeness of information and
- complete entry into tracking systems.
- Serves as designated back-up to Claims Technician - Accounting for the purpose of covering periods of absence.
- Trains ESD staff on the use of department database applications for the purpose of ensuring their ability to use new and/or existing software.
