ON-CALL CLERICAL/SECRETARIAL AIDE POOL PROGRAM


SALARY: $10.69 – $14.69/hr. Hourly rate varies depending on assignment.


NOTE: This process is to create a pool of temporary office workers that could fill temporary on-call clerical and secretarial appointments. Assignments will be filled on a daily, weekly, or long-term basis as needed.

EXAMPLES OF DUTIES: Duties may range from entry level clerical to moderately difficult secretarial duties, depending on assignment. Examples of entry level clerical duties include typing; proofreading; filing; posting; coding; acting as receptionist, answering telephones, screening calls and taking messages; processing incoming and outgoing mail and deliveries; making copies on copy machine; and other related duties.

Examples of moderately difficult secretarial duties include all of the clerical duties listed above; maintaining calendars of appointments, meetings and events; taking dictation of letters, memos and reports using notes and/or dictation/transcription equipment; attending meetings and taking stenographic minutes of business conducted and composing minutes; operating a variety of modern office equipment including a computer terminal to produce forms, reports, charts, graphs and other correspondence; and other related duties.

 Qualifications:

EDUCATION/EXPERIENCE: Any combination of training, education and experience which demonstrates the ability to perform the duties of the position. More difficult assignments will require some previous clerical or secretarial experience. Experience using a computer terminal and copy machine is desirable.

CERTIFICATE: If candidate wants typing skills considered, a typing certificate issued within the past six (6) months is required. No self-administered typing certificates will be accepted. Depending on assignment, typing up to 60 net WPM may be required. If assignment requires dictation, proof of competency may be required.

 Knowledge, Skills & Abilities:

KNOWLEDGE OF: English usage, spelling, grammar and punctuation; proper telephone etiquette; modern office equipment and procedures; basic arithmetic; simple to advanced record keeping methods; and general word processing methods.

ABILITY TO: Perform routine clerical work; operate office equipment; understand pertinent procedures and functions and apply them without immediate supervision; maintain accurate records; read, understand and apply simple to moderately difficult materials; proofread and detect errors in typing, spelling and punctuation; understand and carry out oral and written instructions; operate a calculator, copy machine and computer terminal; establish and maintain effective relationships with those contacted in the course of work. Some assignments may require confidentiality of sensitive information.

 Supplemental Information:

PHYSICAL DEMANDS AND WORKING CONDITIONS: Work is primarily sedentary and may involve prolonged periods of work at a computer terminal.

SELECTION PROCEDURE: Candidates must clearly demonstrate through their application materials that they meet the employment standards outlined above. Examinations for the position may consist of any combination of written, performance and oral interviews to evaluate the applicant's level of skill, training and experience for the position.
