Performs very responsible and difficult staff support and administrative assistance as secretary to a County agency administrator or the director of a County department.

 Examples of Knowledge and Abilities:

Knowledge of

  • Organization and functions of Sacramento County government and departments
  • Principles of managing and coordinating secretarial aspects of a County agency or department
  • Modern office methods and practices, with particular emphasis in the work of an administrative office
  • Correct English usage, including grammar, spelling, vocabulary;
  • Simple arithmetic
  • Proper preparation and format for correspondence and reports;
  • Principles and practices of supervision
  • Filing systems

    Ability to

  • Take responsibility and use good judgment in recognizing scope of authority
  • Evaluate demands on the administrator's or director's time and arrange his/her schedule accordingly
  • Interpret and apply departmental policies and procedures
  • Establish effective working relationships with County agency and department heads and staff, and the general public in routine, emergency, and emotional situations
  • Maintain a record-keeping and follow-up system
  • Prepare summaries of reports and correspondence
  • Compose reports and letters independently
  • Compose correspondence from brief oral or written instructions
  • Analyze situations accurately, and take effective action
  • Communicate clearly and concisely orally and in writing
  • Read, write, and speak English at a level necessary for satisfactory job performance
  • Operate standard office machines and equipment used in work assignments, such as typewriters, word processing equipment, computer terminals, printers, recording equipment, calculating machines, copying equipment, telephone equipment, radio/telephone equipment, etc.

  •  Employment Standards:

    Minimum Qualifications

    Proof of ability to type from clear copy at the rate of 45 net words per minute

    And: Any combination of education, experience or training that would likely provide the required knowledge and abilities. Typical ways to obtain the knowledge and abilities would be:

    Either: One year performing the duties of Secretary III, Legal Secretary II, or equivalent position class in Sacramento County Service;

    Or: Two years of experience performing secretarial duties equivalent to duties of the Sacramento County classes of Secretary, Legal Secretary I, or equivalent class as defined by the class specification.

    Special Requirements for Some Positions:

    Dictation/Transcribing Ability: Some positions may require taking oral dictation. To be eligible for appointment to a "shorthand-required" position, applicants must have the ability to take oral dictation using any speedwriting method, at the rate of 80 words per minute and transcribe at the rate of 25 words per minute. Where the oral dictation skill is required, it is used in performing the typical duties as shown in the "Examples of Duties" above.

    Word Processing Control Operator Clause: Some positions require specific knowledge and abilities to perform the responsibilities of a Word Processing Control Operator for a large number of word processing users within and outside of their department. These include knowledge of word processing concepts and terminology; the ability to understand and apply the knowledge unique to the operating department; and communicate with users who have no technical word processing background.

    Probationary Period: The probationary period for this classification is six (6) months.

    Testing Process
    All applications will be screened by the Employment Office to determine if each applicant meets the minimum qualifications. The application must clearly show that the minimum qualifications are met by the cut-off date or the application will not be accepted. All statements are subject to verification.

    The testing process for this class will consist of a written examination, weighted 100%. The examination may test for, but is not limited to, the essential knowledge and abilities listed in this announcement. All candidates successful in the examination process will be placed on the eligible list in rank order determined by the test score attained.

    Qualified applicants will be notified by mail of the exact date, time, and location of the examination.

    If applicants have not received written notice at least two (2) working days prior to the tentative test date, they should contact the Sacramento County Employment Office at (916) 874-5593.

    How to Apply
    As vacancies occur, a cut-off date will be established and posted in the Employment Office. All applications received by 5:00 p.m. on the current posted cut-off date will be processed. Applications received after the current posted cut-off date will remain on file and processed after the next established cut-off date. Note: The Employment Office is not responsible for the untimely delivery of materials sent via U.S./specialized mail, or County inter-office mail.

However, additional required documents (such as copies of transcripts, etc.) must be submitted in person, by fax, or by mail and clearly marked with the title of the job for which you are applying.
